What maintenance teams say after working with Insan
These are accounts from maintenance managers and engineers who have been through our workflow reviews, pilots, and stewardship engagements. We have included both what worked well and what surprised them.

Feedback from maintenance teams across Malaysia
Zaharuddin Hamid
Maintenance Manager — Selangor
"The Workflow Review brief was the most useful document we received about AI in three years of looking at the topic. It told us clearly what would and would not work given our SAP PM setup and the way our technicians write entries. We did not proceed to a pilot straight away — the brief was enough to inform our planning for the next year."
April 2025 — Workflow Review
Noor Lailatul
Senior Engineer — Johor Bahru
"We went through the six-week pilot with a rotating equipment asset class. The AI memo drafts were noticeably useful — not because they told us things we did not know, but because they organised what we already knew into a format that was easier to act on. The bilingual training was well-paced and the technicians were comfortable with it by week three."
March 2025 — Records Reading Pilot
Rajan Menon
Head of Engineering — Penang
"The Quarterly Stewardship briefs have been a steady part of our engineering review cycle for two quarters now. The JKKP alignment section is particularly useful — we reference it directly in our DOSH submissions. I would have preferred a slightly faster turnaround on the quarterly brief, but the quality of the writing is consistently good and the findings are accurate."
April 2025 — Quarterly Stewardship
Faridah Ismail
Maintenance Supervisor — Kuala Lumpur
"We were nervous about bringing AI near our CMMS because of a bad experience with an earlier platform vendor who had broader access than we realised. Insan was clear from the beginning about the read-only limits. Watching the integration in practice during the pilot confirmed that those limits held. That mattered more to us than the efficiency gains."
February 2025 — Records Reading Pilot
Wong Teck Heng
Plant Manager — Shah Alam
"The Workflow Review honestly flagged that two of our asset classes were not good candidates for AI reading due to inconsistent entry formats in our CMMS. That was useful — we addressed the data quality issue first, then came back for the pilot six months later. The second engagement was much smoother because of that preparation."
March 2025 — Workflow Review → Pilot
Azrul Kamarudin
Engineering Manager — Ipoh
"The stewardship model suits our lean engineering team well. We do not have the internal bandwidth to review AI outputs systematically every quarter. Having Insan do that sampling and produce the written brief means our head of engineering gets a reliable summary without us having to dedicate two days to it. Good value for the fee."

Three client journeys in detail
CASE-001 / Manufacturing — Selangor
Reducing maintenance manager reading time on rotating equipment logs
Challenge
Maintenance manager was spending 3–4 hours each week cross-referencing vibration monitoring reports against CMMS entries for 47 rotating assets. The volume had grown as the asset register expanded, but the team had not.
Solution
Records Reading Pilot deployed over six weeks. AI reading assist was configured to read vibration report exports and relevant CMMS entries, then draft a weekly pattern memo with flagged asset IDs for engineering review.
Outcome
Weekly reading time on rotating equipment logs reduced to approximately 45 minutes for the maintenance manager. Three recurring vibration patterns across similar pump assets were surfaced that had not been connected in previous manual review. All three were confirmed by engineers as warranting closer monitoring.
"The memo format took two weeks to feel natural. After that, the team stopped complaining about it and started using it as the basis for weekly handover meetings."
— Maintenance Manager, Selangor manufacturing facility
CASE-002 / Utilities — Johor
Workflow Review identifying data quality gaps before pilot commitment
Challenge
Engineering leadership wanted to explore AI reading for electrical distribution assets but was uncertain whether their IBM Maximo entries were structured consistently enough for useful AI summarisation.
Solution
Workflow Review conducted over two site visits and a remote session. We read six months of Maximo entries for the electrical asset class and wrote a brief identifying four entry format inconsistencies that would limit AI reading value.
Outcome
Client addressed the data entry inconsistencies over five months before returning for a pilot engagement. The pilot, when conducted, produced more consistent output than the team had expected from a comparable facility. The brief became an internal reference document for CMMS housekeeping.
"The brief told us things about our own maintenance records that we had not noticed. That was worth the fee by itself."
— Head of Engineering, Johor utilities facility
CASE-003 / Facilities Management — Kuala Lumpur
Quarterly Stewardship supporting audit readiness for a commercial building manager
Challenge
A facilities management team running a large commercial portfolio in KL had already deployed an AI reading assist independently but lacked a structured process for reviewing whether it remained within appropriate boundaries — a concern raised during a tenant audit.
Solution
Quarterly Stewardship engagement commenced. Each quarter Insan reviewed a sample of AI outputs, checked for boundary drift, and produced a written brief covering JKKP alignment and a summary of observed output patterns.
Outcome
Quarterly briefs were referenced directly in the tenant audit response in Q1 2025. The audit finding was closed. The facilities manager reported that having a documented review process for AI integration was more valuable during audits than the AI outputs themselves.
"The quarterly brief is what we show during audits now. It is clear, factual, and written by someone who understands maintenance — not a software vendor."
— Facilities Manager, Kuala Lumpur commercial portfolio
